GL Mappings in Fexa allow customers to categorize their assignments and invoices for billing purposes. These GL Mappings can be found under Administration>Accounting>GL Mappings. GL Codes can set on assignments/invoices based on the assignment class and category or the work order class and category.
The class and category on an assignment can often differ from those on the work order. Often times, it's desired to use the assignment class and category to account for this difference. If your team wants to use the assignment class/category over the work order, or vice versa, please reach out to the support desk and we can make the change for you!
Creating GL Mappings
1. Go to Administration the click on GL Mappings.
2. Click on the plus "+" sign in the top right corner of the grid.
3. Fill out the fields and click 'Save' once you've filled out the desired information.
Updating GL Mappings
1. Double-click on the row that you want to update.
2. Update the desired fields and click 'Save' once complete.
Importing GL Mappings
1. Go to the Imports grid on the navigation panel and click on the plus (+) sign to create a new import.
2. On the import setup page use the GL Mapping Import Type.
3. Click on the hint link to download the template.
4. After filling out the template, save and upload it. Please note that the GL Code must be present in the template.
5. Click on Save Mappings.
Note: If you are updating existing GL Mappings, be sure to include the ID of the GL Mapping to update.
Deleting GL Mappings
1. To delete a GL Mapping, navigate to the Accounting>GL Mappings grid.
2. Use the trash can icon on the GL Code you need to delete.
GL codes can also be deleted through import. Follow similar instructions from the Import section above. You will need the ID of the GL Mapping to delete and set the delete column to TRUE.
GL Mappings on Assignments
GL codes can be viewed on the assignments and modified directly from the assignments, which allows users to override the GL code directly from the assignment rather than the invoices/proposals.
