After creating a list, these lists can be Mass Managed and Exported to a spreadsheet. The Mass Manage feature allows users to update items like Assignee, Class, Status and more in mass!
Mass Managing Lists
Step 1) After creating your lists, you can navigate to whichever one you would like to update in mass.
Step 2) There will be several icons in the top right-hand corner of the list. Click on the pointed finger icon, which will say mass manage when hovered over.
Step 3) Select the records to update. If no selection is made, all records will attempt to update.
Step 4) Select on the icon to the left of the now closed hand mass manage icon. The edit selected icon is a box with a pencil inside.
Step 5) Select your desired updates. ***
Step 6) Select Next.
Step 7) Make sure the Mass Update screen reads that all of your records will be impacted. You can press the Update button once you are ready.
Step 8) Enter the email you want the mass manage notification to deliver to. Select Proceed.
*** Note: If you are updating a status, it is important that you have permission to make this update. If you do not, it will not allow you to proceed or will fail.
The transitions from one status to another also need to exist. Example: If a work order transition from New to Completed does not exist, no records will update if that is your selection.
Exporting Lists
Step 1) After creating your list, there will be several icons in the top right-hand corner of the grid. To export, click on the Grid icon.
Step 2) Select your file type option between CSV, XLS, and XLSX.
Step 3) After selecting your file type, your document will download and you can click on the download to view it.
