What is FexaAI?
FexaAI is an intelligent, conversational experience that guides you through creating work orders. Instead of filling out a traditional form, you describe your facility issue in a natural chat and FexaAI handles the rest — selecting the right client, store, priority, category, and building a detailed description.
FexaAI helps you:
Submit higher-quality work orders with less effort
Resolve issues faster through guided troubleshooting
Reduce unnecessary service calls when problems can be fixed on-site
Ensure every work order meets your organization's requirements
FexaAI does not replace or change any of your existing workflows. Once a work order is created, it follows the same process it always has in Fexa — assignments, approvals, and dispatch all work the same way.
How to Access FexaAI
When FexaAI is enabled for your account, it becomes the default way to create work orders. Here is how to start:
Click the "+" button from the global menu or from the Work Orders section
FexaAI opens automatically — you will see a chat interface instead of the traditional form
Start typing to describe your issue
If your organization has enabled both FexaAI and the standard form, you can switch between them using the toggle inside the FexaAI screen. See the article "Switching Between FexaAI and the Standard Form" for details.
What to Expect
When you begin chatting with FexaAI, you will see a chat window on the left and a Work Order Details panel on the right.
The chat is conversational — describe your issue in plain language, and FexaAI will:
Ask clarifying questions if needed
Automatically fill in required fields like Client, Store, Category, Priority, and Class
Guide you through troubleshooting steps when applicable
Prompt you to upload photos or documents if required for your category
Create the work order once all details are complete
The Work Order Details panel on the right side shows the current state of your work order fields in real time as FexaAI fills them in.
The Progress Tracker
A progress tracker at the top of the chat shows where you are in the process:
Chat Started — Your conversation has begun
Identifying the Issue — FexaAI is understanding your problem
Collecting Details — Required fields are being filled in
Work Order Created or Avoided — Your work order is submitted, or the issue was resolved without needing dispatch
Recent Chats
You can find your recent FexaAI conversations in the chat history panel. This lets you review past work orders you created through FexaAI.
Tips for Getting Started
Be descriptive — The more detail you provide about your issue, the better FexaAI can categorize and document it
Answer questions directly — When FexaAI asks clarifying questions, specific answers help create a more complete work order
Check the details panel — Review the Work Order Details panel on the right to make sure fields are set correctly before the work order is finalized
Upload photos when you can — Photos help vendors arrive prepared and can speed up resolution
