Asset Templates in Fexa allow users to create outlines to easily manage new assets. Once asset templates are created, individual assets can be created for these templates. Each individual asset will have the default and custom fields from the template it's been created for.
Creating Asset Templates
To create asset templates, navigate to the Asset Template grid under the administration panel.
Click on the plus sign (+) in the top right to create a new template.
We offer some existing parent asset templates, but users can also create custom asset templates.
The existing parent asset templates are as follows:
- Building Structure and Shell
- Fleet
- Kitchen
- Electrical Systems
- Plumbing Systems
- Interior Fixtures and Finishes
- Security Systems
- Fire Safety Equipment
- Elevators and Escalators
- Landscaping and Grounds
- Cleaning and Janitorial Equipment
- Waste and Recycling
- Furniture and Office Equipment
- Specialized Equipment
- Signage and Wayfinding Systems
- HVAC/Refrigeration
On the 'Select Asset Parent Template' field, if you don't want to use the existing templates, select Custom. Otherwise, select one of the templates we offer.
Once you select a Parent Template, there will be default fields that populate below the parent template field. Examples of those fields are below:
These will be the fields on this asset template that can be filled out for each individual asset created for this template. You will see the type of field and you can also make the individual fields required if desired.
Once you select the Parent Template, the fields on the right will populate:
1. Asset Template Name: this is the desired name of the template
2. Asset Type: You can select Other, or if this is an HVAC/Refrigeration template, you can select 'Comfort Cooling', 'Process Cooling', or 'Refrigeration'.
3. Insert Custom Fields: To add additional fields to the template, set this toggle to true. If this template should only include the default fields we provide, leave this toggle set to false. See more on this field below.
4. Category: If assets in this template should only be available for specific WO Categories, select those here.
5.. Select Active or Inactive State: Set to inactive if this template should be inactive or select active if the template should be active.
6. Asset Template Image: Upload a photo of this asset if desired.
7. Add Parts Categories: If Parts Categories have been created under Selectables>Parts Categories, those can be added to this template if desired.
Inserting Custom Fields
If you set the 'Insert Custom Fields' toggle to true, enter the Custom Field Name, and select the data type (Text, Toggle, Date, Number).
If the field should be required on an asset, click the check box for that. If the field should be a locked field, click the check box for this as well.
A locked field will not allow users to update the data in this field.
When you add multiple fields, the arrows to the right of the field allow you to change the position of the fields. You can also click the X to remove the custom field.
Once all fields on this screen have been updated, click Save & Exit or click Next.
If you click Next, you have the ability to add assets individually or in bulk. To individually add assets, select the 'Add Assets' button:
Click on the plus sign (+) in the top right to add new assets.
On the Create New Asset pop-up, fill out all required fields and any of the other fields desired.
Required Fields
Name: This is the name of the individual asset. This isn't going to be the name of the asset template, but the individual asset name to help users identify a specific asset at a location.
Facility: This is the Facility (location/store) that the asset is located. The options in this drop down will show all facilities in the Fexa site.
Updating Asset Templates
To update an asset template, navigate to the asset template grid, find and double-click on the asset template that needs to be updated. Make the desired changes and save the template.
If you add a parts category to this template on the 'Asset Template Details' screen, you will see the associated Product/Part on the 'Products/Parts' tab within the template:
To create assets after the template has been created, users can click on the Assets Associated tab from within an asset template. You will then follow the same instructions as described above when clicking 'Add Assets' from the template creation.
